One sticker on every machine. One scan runs the job.

Your customer scans it and the request lands in your queue with the machine already identified. Your tech scans it and gets the unit's history, manuals, and parts on the spot. Your office takes it from request to invoice to paid, in one record.

The sticker

A durable QR sticker with your name on it, on every unit you service. It does three jobs.

01 · INTAKE

When it breaks, they scan, you respond.

The kitchen manager scans the sticker on the dead unit, taps Request Service, and the request lands in your queue with the machine already identified. No phone tag, no "the cooler on the left." Phone calls still work; the office logs them into the same flow.

02 · CONTEXT

Your tech never walks up blind.

On arrival, the tech scans the same sticker and sees the whole machine: model, serial, warranties, manuals, parts, and every visit your company has logged. The hours lost calling the office for manuals and part numbers stop here.

03 · RETENTION

Your name stays after the truck leaves.

Your name and number stay on the unit for the life of the machine. Two years from now, when it breaks again, the building engineer's easiest path is the sticker with your brand on it, not a search box.

This code is real. Scan it with your phone.

You'll land on the public page for a demo ice machine, the same page your customers see on a unit you've tagged. And a damaged sticker never costs you data: the sticker is only a pointer, the record lives in ScanSticker. Print a replacement, link it to the same unit, and the history is all still there.

The tour

See the whole loop, scan to paid.

One take, no jump cuts: a sticker gets scanned, the request hits the queue, dispatch drops it on a tech, and the invoice goes out with a pay button on it.

After the scan

One record takes the job from request to paid.

Statuses set themselves.

There is no status dropdown to forget. On My Way, Start, and Finish are things a tech already does, and the board updates itself from those actions.

Dispatch that handles the messy parts.

Assign work, hold a job for parts, cut the purchase order, and release the job back to the board when the part lands.

Estimates approved from a phone.

Optional lines toggle with a live total. Approval creates a tamper-evident acceptance record, and Approve & Pay Deposit funds the job before you order parts.

Bill the Clock.

Clocked technician minutes become labor lines on the invoice in one tap. The hours your techs work stop evaporating between the truck and the bill.

Illustrative example of per-line tax treatment on a Virginia repair invoice.

A state tax engine decides every line.

Repair labor, parts, trip charges, and freight are taxed differently by state, and generic automated tax gets repair invoices wrong. ScanSticker computes tax per line, cites the rule it applied, and pushes exact amounts to QuickBooks Online.

The pay button does the chasing.

Invoices go out with a pay link. Customers pay by card or ACH through Stripe; deposits collect at estimate approval, balances at invoice.

Built for the customer with eight locations.

Bill per site or consolidated per account, and give facility managers a magic-link portal that shows status and history — never your rates or internal notes.

Preventive maintenance

PM triggered by how hard the machine actually runs.

Every 90 days, every 500 run-hours — whichever comes first, per unit. The meter is run time, so the fryer working sixteen-hour days gets seen sooner than the one barely used. Findings become quoted estimates the customer approves from a phone.

Why flat pricing? Per-seat fees punish hiring, and add-ons punish trust, the two complaints we hear most from contractors leaving their last tool, so we removed both. Tiers scale by equipment under management, never by headcount, and stickers print from the app on standard label stock: no hardware, no per-sticker fee.

Third-party costs stay separate. Customers pay their own Stripe processing, Stripe Tax usage when enabled, and QuickBooks Online subscription. Every plan: 7-day free trial, month to month, cancel anytime, data export included.

FAQ

Questions we actually get.

Short answers below. If yours isn't here, email hello@scansticker.com and a human will answer it.

You're new. Why would I run my business on you?
Because you can judge the product instead of the marketing: start the trial tonight and put your own equipment in it, no sales call required. The parts that touch your money run on infrastructure you already trust: payments through Stripe, invoices in your QuickBooks Online. And the pricing removes most of the bet. Flat monthly, no contract, no implementation fee. If we're wrong for you, you're out one month.
What does it really cost once the add-ons start?
There are no ScanSticker add-ons. One flat monthly price covers the sticker system, dispatch, estimates, invoicing, the PM engine, the customer portal, the QuickBooks Online integration, and unlimited users. Stripe processing, Stripe Tax usage, and the customer's own QuickBooks Online subscription stay separate, because those accounts belong to the shop. Your ScanSticker bill doesn't change when you hire a technician, and there's no feature you'll discover later behind a paywall. The price is on this page.
My customers won't scan a QR code. They'll call like they always do.
Some will keep calling, and that works fine. Requests entered by phone go through the same flow. But at 9 PM on a Friday, a kitchen manager standing in front of a dead walk-in takes the easiest path, and scanning the sticker on the broken unit beats phone tag and describing "the cooler on the left." Even when customers do call, the sticker already did its other job: your name and number were on the unit when they reached for the phone.
Stickers on commercial equipment? They'll cook off, freeze off, or get pressure-washed into oblivion.
The stickers are made for equipment environments (heat, cold, grease, washdowns), because a sticker that peels off defeats the product. And a damaged sticker never costs you data, because the sticker is only a pointer. The asset, its history, and its documents live in ScanSticker. Print a replacement, link it to the same unit, and nothing is lost. Put one on a unit your techs service all the time and check whether the history holds up.
My techs ignore software. They never update the status dropdown.
There are no status dropdowns. Statuses come from three things a tech already does: On My Way, Start, Finish. The board updates itself. In the field, the whole workflow is scan the sticker, see the unit's history and manuals, do the work. Every tech alive has scanned a QR code at a restaurant table. There's nothing to remember and nothing to fake, and that's why the data holds up.
What happens to my data if you disappear?
You can export it: customers, equipment records, and service history. Your payments run through your own Stripe account and your invoices live in your QuickBooks, so your money and your books were never dependent on us in the first place.

When it breaks again, your name is already there.

Start the trial, sticker one unit this week, and see what your customer sees.
